Event Hosting Policy
WiDS Belgium will not be organizing any further events in 2024. To host an event under our name in 2025, please secure written approval by e-mail.
Event Registration and Cancellation Policy
Registrations are generally non-refundable. However, in the case of severe illness or death, a refund may be issued upon submission of a medical note via email at least 24 hours prior to the event
Privacy Policy
Upon registering for an event with Women in Data Science Belgium, personal data, including name, family name, and organization, is accessible solely to the legal representative, volunteers and pertinent partners for name tag generation. Other collected data is anonymized and utilized for statistical analysis to discern audience demographics. Non-personal, de-identified, or aggregated information may be disclosed to WiDS legal authorities and sponsors for research or statistical purposes. Personal data of registered participants will be expunged within four months post-event. Individual email addresses, personal contact details, and payment information will not be disseminated to third parties unless mandated by law. CVs submitted for inclusion in the sponsor talent pool will be shared exclusively with the companies listed on the conference page under ‘Sponsors’.
Photography
Attendees are encouraged to capture and share photographs while honouring the privacy of others. Professional service providers may be engaged for photographic or videographic documentation, with resultant images or footage utilized for promotional endeavours. Attendees desiring non-publication of their images should notify WiDS Belgium in advance by e-mail. Commercial photography necessitates explicit authorization by WiDS Belgium legal representative.
Data retention & access
All materials related to the conference, including but not limited to recordings, transcripts, presentations, sponsor materials and attendee information, will be either deleted or archived following the event. These archived materials will not be made publicly accessible and will only be shared at the discretion of the organization.
Your Rights
Pursuant to GDPR regulations, you retain the right to access, rectify, erase, restrict, or object to the processing of your information. For the exercise of these rights or to address privacy concerns, please contact us by e-mail.
Changes to this Policy
This privacy policy remains subject to modification at any juncture. We advise periodic review for updates or amendments.
